One point of contact for the whole production
A seminar with an international guest is not just a stage and an audience. It involves security, medical cover, technical support, live streaming and coverage, and each of those is a separate supplier with its own schedule, its own space requirements and its own person in charge. At the Ronnie Coleman seminar at Novotel Athens, FitOne asked us to coordinate all of it. FitOne communicated with us alone, and coordinating every other supplier was our responsibility. Any change to the schedule, from the doors time to the running order, would have come through us to the security team, the sound engineer, the LED wall operator, the coverage crew and the promoters at the same time. The same would have applied to last-minute changes, when there is almost no time for back-and-forth.

Why coordination matters
At an event of this size, most problems arise when two crews have a different picture of the schedule. The security team needs to know when the guest arrives and through which entrance. The sound engineer needs to know who is speaking and when, so the right microphone is open. The video crew needs to be in position before the moment happens. The LED wall operator needs the right material ready the moment the speaker asks for it. And the promoters need to know where to direct people at each stage. When all of that runs through one point of contact, the organiser can look after the event and the guests instead of solving coordination problems while the programme is running.

Both. For the Ronnie Coleman seminar we took on the overall organisation and the coordination of every external supplier, from security and the ambulance through to the LED wall and the live stream. At other events we handle only the photography, or only the technical side.
Do you work with our own suppliers?
Yes. If you already have partners for part of the event, we work them into the schedule and take on the coordination. We take their details, put them on the same timeline as the rest of the crews and make sure they hear about every change. The aim is for you to have one point of contact for the whole production, while keeping the people you already work with.
Do you cover events in Athens?
Yes. The Ronnie Coleman seminar was held at Novotel Athens. We travel across Greece and build the team around the venue and the schedule you have already set. Where it helps, we visit the venue before the day of the event, so we know the entrances, the power supply and the points where equipment can be set up without blocking the flow of visitors.
